As our Office Manager & Business Support Assistant you will:

  • Be the Office Manager for our Hub in Newcastle, providing: –
    • The first point of contact for all Hub related activities enquiries and planning.
    • Be responsible for managing the relationship with our Hub provider (Toffee Factory)
    • Ensure the Hub is stocked and kept appropriately functional.
    • Liaise with the Hub facilities staff to ensure cleaning is up to standard.
  • Be responsible for PA duties for our Chief Executive Officer and the Business Development Lead. Including diary, mailbox, and expenses management
  • You will be responsible for the organisation and logistics of our company-wide events. Accountable for ensuring all the travel and accommodation are booked.
  • Be responsible for the key logistical partners, such as Hotels. Ensuring we have appropriate and commercial, and logistically beneficial relationships.
  • Provide secretarial support for critical meetings such as Board, including providing post-meeting actions and minutes within the timeframe required.
  • Be responsible for administering our onboarding process; this will include
    • ordering merchandise
    • onboarding our new employees onto key systems and programs.
    • Ensuring new mob members have gone through our disclosure checks.
    • Onboarding of new starters on our PHI programs such as BUPA and YuLife.
  • Work with our wider operations team to proactively identify improvements to the processes within whyaye, focused on driving automation and simplification where appropriate and possible.
  • Be able to shape & own your development plan to make exciting things happen by utilising the personal development coaches within whyaye
  • Be proficient in standard software packages such as Office 365 and, if possible, standard People tooling and ServiceNow.

For this role, we are looking for someone trustworthy and organised, able to adapt and develop with our growing business. You will be comfortable in saying no when appropriate and be diplomatic and outcome orientated. Also, you will definitely be looking to help and support all our mob members to add Yay into their day.
